Airtable

Project Management

Airtable is a relational database that looks like a spreadsheet, runs like a lightweight app builder, and is now wrapped in AI agents that can build apps and enrich data on the fly. For ops, marketing, and product teams, it sits in the gap between Google Sheets and a custom internal tool.

Most teams adopt Airtable because Google Sheets broke. The list got too long, the formulas got too brittle, and someone finally said the words "shared source of truth." Airtable solves that surface problem in a weekend. The deeper opportunity, automating the operations layer on top of it, almost always gets left on the table.

What Airtable Does

Airtable is a relational database with a spreadsheet face. Underneath the grid view sits a real schema: linked records, lookup fields, rollups, formulas, and views that filter, sort, and group without touching the underlying data. On top of that schema, Airtable layers an app builder, automation engine, and a growing set of AI features.

  • Bases, tables, and views. The core unit is the base, which holds tables of structured data. Views let different teams slice the same data without forking it.
  • Interface Designer. Drag-and-drop builder for internal apps and dashboards that sit on top of base data, complete with permissions, charts, and editable forms.
  • Automations. Native triggers (record created, field updated, button pressed, schedule) feed into actions (send Slack, create record, update field, run script). JavaScript lets you push past the visual builder.
  • Sync. Two-way sync with Salesforce, Jira, and Zendesk. One-way sync from Google Drive, Box, and other bases. Airtable becomes the operational layer without ripping out the system of record.
  • HyperDB. Up to 100M records per table for organisations using Airtable as the operational warehouse, not just the lightweight tracker.
  • Marketplace. 90+ integrations and 100+ extensions for charts, page designers, batch operations, and third-party services.

Airtable's AI: Omni and Field Agents

Airtable's AI layer has two pieces. Omni is a conversational app builder. You describe the workflow you want in plain language and it generates the tables, interfaces, and automations to back it. Field Agents are AI fields that run at the row level, enriching leads with company data, summarising long-form feedback, scoring inbound applications, or generating campaign copy across thousands of records at once. Enterprise customers can pick the model behind the scenes (OpenAI, Anthropic, Meta, or Amazon Bedrock for data-sensitive deployments), and admins control where AI is enabled at the workspace level.

Automations We Build with Airtable

Most teams end at native automations. We start there, then push past the visual builder when the workflow demands it. Airtable becomes the data layer; n8n and custom code handle the heavy lifting, retries, branching, and integrations Airtable can't reach natively.

  • Content calendar to CMS. Editorial records in Airtable trigger Sanity, Webflow, or WordPress publishes the moment a piece hits "approved," with metadata, hero images, and SEO fields mapped automatically.
  • Inbound lead routing. Form submissions land in Airtable, get enriched by Field Agents or Clay, score against an ICP rubric, and route to the right rep in HubSpot or Salesforce with Slack notifications and SLA timers.
  • Vendor and contractor lifecycle. New vendor records auto-trigger DocuSign NDAs, W-9 collection via Typeform, and Mercury or QuickBooks supplier creation. Expirations flag back to ops 30 days out.
  • Two-way Postgres sync. Airtable as the human-friendly editing layer, Postgres or Snowflake as the warehouse. We build the sync so finance, BI, and the product team all read the same numbers.
  • Launch command centre. One base, every cross-functional launch. Engineering tickets sync from Linear or Jira, sales enablement assets attach to launch records, and an Interface Designer view becomes the weekly exec dashboard.
  • AI-enriched applicant tracking. Resumes upload to Airtable, Field Agents extract skills and years of experience, scoring runs on a custom rubric, and qualified candidates route to a Gem or Calendly hold based on role.

Why Teams Choose Airtable

  • Faster than custom dev, more structured than Sheets. The build cycle for a new internal app drops from months to days, without sacrificing schema or permissions.
  • Non-engineers can ship. Ops, marketing, and product teams build their own workflows. Engineering stays focused on the product, not internal tooling.
  • AI without the rebuild. Field Agents and Omni add AI to existing bases. No migration, no separate AI tool to evaluate.
  • Sync with systems of record. Two-way sync with Salesforce, Jira, and Zendesk keeps Airtable in the workflow without forcing a CRM or PM tool replacement.
  • Scales from a team of five to thousands. HyperDB handles 100M-record tables for organisations using Airtable as a real operational warehouse.

Airtable integrates natively with 90+ tools (Slack, Salesforce, Jira, Zendesk, Google Workspace, Stripe, Tableau, and more) and connects to everything else through Zapier, Make, n8n, or the REST API. Pricing starts free for individuals and small teams, runs $20 per user per month on the Team plan, $45 per user per month on Business, and lands at custom Enterprise Scale pricing for unlimited workspaces and admin controls (verified within the last 90 days). That is the layer we build on top of.

Use cases

Content & Campaign Operations

Run the editorial calendar, asset library, and approval workflow from one base. Drafts flow from idea, to review, to published, with status changes pushing to Slack and assets syncing to the CMS.

Vendor & Contractor Management

Track every freelancer, agency, and supplier with rates, contracts, and active projects in one record. Pair it with automations that flag expiring NDAs, missing W-9s, and overdue invoices before finance has to chase.

Applicant Tracking (Lite)

For teams not ready for Greenhouse or Lever, Airtable handles the full hiring pipeline. Candidates flow in from forms, get scored by AI fields, and route to the right interviewer based on role and seniority.

Product Launch Coordination

One base, every launch. Engineering tickets, marketing assets, sales enablement, and PR contacts all sit against the same launch record. Interface Designer turns it into a dashboard the exec team can actually read.

Operational Source-of-Truth With BI Sync

Use Airtable as the system of record for ops data that lives nowhere else, then two-way sync to Postgres, Snowflake, or BigQuery so the same numbers feed Tableau, Metabase, and the finance model.
