Most mid-market ops teams adopt Make for the same reason they outgrew Zapier: they needed branching, iterators, and an execution log that actually shows what happened. They get those, build a handful of scenarios that look like fancier Zaps, and call it done.

2. Order-To-Cash With Real Error Handling

Trigger: a new Stripe subscription, a closed-won deal in HubSpot, or a manual operations event.

Workflow: the scenario opens an account record in the CRM, fires invoicing in NetSuite or QuickBooks, schedules the welcome email through Customer.io or HubSpot, assigns a CSM via round-robin from a data store, and triggers the document signing flow in DocuSign or PandaDoc. Each module has its own error handler with retries; failures route to a finance ops Slack channel with the run link attached, so the responsible person can debug from the execution map without logging into five tools.

Outcome: order-to-cash cycle time drops, exceptions are caught in minutes instead of weeks, and finance stops finding orphaned subscriptions during the month-end reconciliation.

3. AI-Assisted Support Triage

Trigger: a new ticket in Zendesk, Intercom, or Help Scout, or an inbound email parsed via a Gmail watcher.

Workflow: the ticket is sent to a Claude or GPT module with a structured prompt that returns category, severity, intent, and a suggested first reply. A router uses that classification to assign the right queue. The suggested reply gets dropped into an internal note so the agent reviews and edits rather than starting from a blank text box. A retry handler manages LLM rate limits and falls back to a simpler rules-based classifier if the AI call fails three times.

How Make Should Integrate With Your Stack

The integrations matter less than the architecture, but the architecture only works if the integrations are clean. The pattern that works:

  • CRM (Salesforce, HubSpot, Pipedrive), one bidirectional sync per scenario family, never overlapping writes from multiple scenarios.
  • Billing and finance (Stripe, NetSuite, QuickBooks), treat as the source of truth for revenue; Make reconciles into the CRM, not the other way around.

Make ROI usually shows up in three places: throughput, error rate, and ops headcount avoided. For a mid-market team running properly architected scenarios, the indicative range we typically see is:

  • Lead-to-first-touch time drops from hours to under 5 minutes, with assignment balanced rather than concentrated on whoever was online.
  • Order-to-cash cycle time tightens by 20-40% with the manual chase work for missing invoices and CSM handoffs eliminated.

Where Teams Go Wrong

  • Building one scenario per use case instead of investing in shared sub-scenarios. After 20 scenarios, the duplication is unmaintainable; after 50, no one wants to touch it.

  • Never reviewing scenarios after they go live. The CRM schema changes, an integration version-bumps, a vendor deprecates an endpoint, without a quarterly review pass, the brittleness builds up unseen.
