Xero

Finance

Xero is cloud accounting built for businesses that operate across borders and entities. Native multi-currency, unlimited users on every plan, and an AI agent (JAX) that reconciles bank lines and drafts invoices in the background. The system mid-market finance teams pick when QuickBooks runs out of room.

Xero is the cloud accounting platform mid-market finance teams move to when QuickBooks starts to break. It runs the books for 4.4 million subscribers globally, dominates the UK, Australia, and New Zealand markets, and is the default choice for companies operating across multiple currencies, entities, or jurisdictions.

What Xero Does

Xero handles every layer of the finance stack a $5M to $200M company actually uses, with one organisation per legal entity and a clean way to consolidate above it. Everything sits on a single ledger model so reporting, payroll, and bank reconciliation all pull from the same data.

  • Bank reconciliation with live feeds from 21,000+ banks, rule-based matching, and JAX auto-reconciling over 80% of lines.
  • Invoicing and quotes in 160+ currencies, with automatic exchange-rate updates and unrealised gain or loss reports.
  • Accounts payable with bill capture (Hubdoc), approval workflows, and batch payment files.
  • Payroll via Gusto in the US, native payroll in the UK and AU, and contractor management worldwide.
  • Project tracking with time, expenses, and budget against quoted scope for agencies and professional services.
  • Reporting suite covering P&L, balance sheet, cash flow, budget variance, and custom multi-entity consolidation via Spotlight or Fathom.
  • Unlimited users on every plan, with role-based permissions that let the CFO, controller, account managers, and external accountant share one source of truth.

Xero's AI: JAX (Just Ask Xero)

JAX is Xero's agentic AI layer, built on OpenAI. It auto-reconciles over 80% of bank lines in real time using transaction history patterns, drafts invoices and quotes from a plain-language prompt ("draft an invoice for Acme for the May retainer"), surfaces AR aging and cash-position questions on demand, and increasingly executes tasks end-to-end inside the platform. Xero is rolling JAX across markets through 2026. The practical effect is that the bookkeeper or controller stops spending their week on data entry and gets back to actual analysis.

Automations We Build with Xero

Xero out of the box is a strong general ledger. What it isn't, until you build around it, is the finance operating system for a multi-entity company. We connect Xero to the CRM, the project tool, the payment processors, and Slack so the data flows on its own and month-end stops being a fire drill. These are the plays we run.

  • CRM-to-Xero invoicing. Closed-won in HubSpot or Salesforce fires a Xero invoice in the correct entity and currency, terms attached, payment link embedded. Stripe or GoCardless captures the payment, JAX reconciles, the CRM updates.
  • AP routing via Slack. Bills land in Hubdoc, JAX codes them, the approval ping fires in Slack with the PO attached. Approved bills batch into a weekly payment run.
  • Multi-entity consolidation. We run one Xero organisation per legal entity, automate the intercompany journal entries, and feed all of them into a consolidated reporting layer (Spotlight, Fathom, or a custom Supabase warehouse) with FX translation handled.
  • 13-week cash forecast that updates itself. Live AR, AP, payroll commitments, recurring revenue, and credit facility headroom feed into a forecast the CFO actually trusts. Variance to plan goes to Slack weekly.
  • Project margin tracking for agencies. Time in Harvest or Toggl, expenses in Xero, revenue against quoted scope, all rolled into a per-client and per-PM margin view that updates daily.
  • Month-end close checklist with auto-completion. Bank rec, AR cutoff, AP accrual, depreciation, prepaid amortisation, intercompany. Each step gets ticked when the underlying transaction is posted and verified.
  • Dunning that doesn't burn the relationship. Tiered email cadence by client tier and invoice age, escalation path through the AE, and pause when the AM flags a known issue.

Why Teams Choose Xero

  • Multi-currency at every tier. 160+ currencies, automatic FX, unrealised gain/loss reports. QuickBooks puts the same capability behind a $275/month plan.
  • Unlimited users on every plan. A 12-person ops team, three department heads, the external accountant, the CFO. All on one bill, all with the right permissions.
  • Cleaner accountant UX. Xero was built for accountants first, which shows up in chart of accounts management, journal entries, and audit trails. Less time spent fighting the interface.
  • Agentic AI that already does the work. JAX is past the demo stage. Over 80% of bank lines reconcile without human touch.
  • Open API and 1,000+ app integrations. Stripe, Bill.com, Gusto, HubSpot, Salesforce, Shopify, Harvest, Spotlight. Anything that doesn't have a native connector goes through Zapier or n8n.

Xero pricing in the US starts at $25/month (Early, 20 invoices), $55/month (Growing), and $90/month (Established with multi-currency). Connectors to Stripe, Bill.com, Gusto, HubSpot, Salesforce, Harvest, Hubdoc, and Spotlight Reporting cover the standard mid-market stack. That's the platform. The build is everything we wire around it so the CFO gets a closed month on day three instead of day twelve. That's the work Moonira does.

Use cases

Multi-Currency, Multi-Entity Close

Run separate Xero organisations per legal entity, post intercompany transfers, and consolidate into a single reporting layer. We wire the entities together so month-end stops being a manual spreadsheet exercise.

Bank Feed and AP Automation

Live bank feeds reconcile against rules and JAX. AP invoices land via email, get coded by the agent, route through approval in Slack, and post to Xero already matched to a PO or contract.

Revenue Recognition for Agencies and Services

Project-based revenue, retainers, and milestone billing get tracked against budgets and time. We connect Xero to the project tool (Asana, ClickUp, Harvest) so utilisation and margin per client become live, not quarterly.

Cash Flow Forecasting with Live Inputs

Pull live AR, AP, payroll commitments, and recurring subscription revenue into a 13-week cash forecast. The CFO sees the actual runway, not the version from the last board pack.

CRM to Cash Pipeline

Closed-won in HubSpot or Salesforce fires a Xero invoice with the right entity, currency, and payment terms. Stripe captures the payment, JAX reconciles it, the CRM updates payment status. No finance team copy-paste.
